Travel Details for Non-Local Employees

Driving

If you are within a 4-hour driving distance from Westfield, you will be expected to drive to the event using your company truck and company fuel card. Please drive directly to the Renaissance Indianapolis North Hotel located at 11925 N Meridian St, Carmel, IN 46032 on the afternoon or evening of February 18. Events will begin promptly in the morning on the February 19.

Flying

If you are located more than a 4-hour distance away from Westfield, please reach out to the AAA team at 1-844-696-6370 or email meetingsair@aaa-alliedgroup.com to book your flight. They are available to make your bookings Monday – Friday, 8 a.m. – 6 p.m. EST. 

If you choose to book via phone, let them know you are attending the COVER CARE KICKOFF 2025. From there, they will work with you to arrange your flight and provide you with all necessary information.

If you choose to book via email, please indicate COVER CARE KICKOFF 2025 in the subject line and include the following:

  • Your departure city
  • Your travel dates (fly into Indianapolis on Wednesday, February 18 and depart on Friday, February 21)
  • Your legal name as it appears on your photo ID, date of birth, and gender
  • Your cell phone number
  • Any TSA or frequent flyer information

If you’d like to travel with your fellow employees, we encourage you to share your travel itinerary with one another so you can request AAA for the same flight. Reach out to communications@apc-mfg.com with any questions.

Where You’ll Stay

If you’re traveling from outside of Westfield, you’ll be staying at the Renaissance Indianapolis North Hotel. This is also where all of the Season Kickoff events will be held. Your individual room will be automatically booked for you once you RSVP.

Bus Transportation Time & Information

We will have shuttle buses bringing traveling guests to and from the Indianapolis Airport and the Renaissance Indianapolis North Hotel.

Airport to Hotel

Labeled shuttle buses will be at the Indianapolis Airport on Feb. 18 and shuttling employees to the hotel at the following times: 11:00 a.m., 1:45 p.m., 2:30 p.m., 3:15 p.m., 4:30 p.m.

If you experience delays or arrive outside of the bus timeframes, you may be reimbursed for an Uber ride to the hotel. However, if you’re arriving within the bus timeframes and choose to forego the free bus and take an Uber, the company will not reimburse you.

Hotel to Airport

Labeled shuttle buses will be at the Renaissance Indianapolis North Hotel on the 21st and shuttling employees to the airport at the following times: 4:00 a.m., 6:00 a.m., 7:30 a.m., 9:30 a.m., 10:30 a.m.
